CRM hygiene is the ongoing practice of keeping CRM data accurate, complete, consistent and free of duplicates.

Why it matters for sales teams

Every report, forecast and call list comes from the CRM. When the data is messy, the outputs are wrong: duplicate contacts get called twice, deals sit in the wrong stage, and dashboards miss activity that happened. Reps stop trusting the system and keep their own notes elsewhere, which makes it worse.

Good hygiene is mostly habit. Common practices include:

  • Required fields at key stages, such as next step and close date
  • Regular merging of duplicate contacts and companies
  • Consistent formats for phone numbers, titles and industries
  • Logging calls and outcomes as they happen
  • Closing or updating stale deals
  • Refreshing records affected by data decay

Example

A sales manager finds the same company listed three times under slightly different names, each with its own contacts and open deals. After merging the records and adding a rule that new companies must be checked against existing ones, the pipeline report finally matches what reps say in one-on-ones.
