What is a cloud phone system?

A cloud phone system is a business phone service hosted by a provider and used over the internet, with no phone hardware to run in the office.

Why it matters for sales teams

With a cloud phone system, numbers, users, call routing and voicemail are managed in a web dashboard. Adding a rep means adding a user, not installing a line. Reps can work from the office, from home or on the road with the same number.

For outbound teams, the question is often whether a general cloud phone system is enough or whether reps need a dedicated sales dialer. A phone system handles everyday calling. A dialer adds list-based calling, CRM logging and higher call volume.

Cloud phone system vs on-premises PBX

A traditional PBX is equipment the company owns, installs and maintains on site. A cloud phone system is sometimes called a hosted PBX: the same functions, run by the provider. The business pays a subscription, and the provider handles upkeep, updates and capacity.

Both connect to the public telephone network. An on-premises PBX often does it through a SIP trunk; a cloud system includes that connection in the service. For a growing sales team, the practical difference is speed: new reps, numbers and routing rules are set up in software rather than waiting for hardware.
